Compliance software
DOT annual inspection software
Keep every periodic inspection report, inspector detail and expiration date on the vehicle it belongs to — and find it again the day someone asks for it.
Who this is for
Interstate and intrastate carriers responsible for retaining periodic inspection reports.
Carriers running commercial motor vehicles
Operators who must show a current inspection report for each regulated unit and keep it on file.
Fleets recording outside inspections
Operators uploading annual inspection reports completed by qualified inspectors and retaining the record with the vehicle.
The problems it solves
- A unit running past its 12-month inspection because nobody owned the date.
- An inspection report that exists only as a photo on someone's phone.
- Failed components with no recorded proof of repair.
- Hours spent hunting for one vehicle's paperwork during an audit.
What the software does
One record per inspection, per unit
Date, inspector, result and the report file itself, stored against the vehicle.
- Uploaded report retrievable years later
- Inspector name and employer recorded
- Pass, fail and re-inspection outcomes
Expiration tracking
The 12-month clock runs per vehicle from its own inspection date.
- Expiring-soon and expired lists
- Filter by unit, class or location
- No single fleet-wide renewal date
Out-of-service items closed properly
A failed item is tracked until the repair is recorded and verified.
- Failed component recorded with photos
- Repair captured on a work order
- Re-inspection linked to the original record
Retrieval under pressure
Records are useful when they can be produced during an audit or roadside follow-up.
- Search by unit number, VIN or plate
- Full inspection history per asset
- Private storage with controlled access
How it runs

Enter the vehicle
VIN, plate, unit number and class, once.
- 2

Date, inspector, result and the signed report file.
- 3
Track the expiration
The next-due date is calculated from that vehicle's own inspection date.
- 4
Close failed items
Failed components become work-order items with the repair recorded.
- 5
Retrieve on demand
Pull any unit's report and its full inspection history when it is asked for.

Common questions
What does the federal annual inspection require?
Under 49 CFR 396.17, most commercial motor vehicles must pass a periodic inspection at least once every 12 months, and the carrier must retain the inspection report. 49 CFR 396.19 covers who is qualified to perform the inspection. Verify your own obligation against the current regulation text.
How long do inspection reports need to be kept?
The regulation sets retention requirements for the inspection report and the qualification records of the inspector. AssetStacc keeps the report and its metadata on the asset permanently, so retention is not dependent on someone remembering to file a copy.
Can I record inspections done by an outside shop?
Yes. Upload the report from any qualified inspector, record the inspector name, date and result, and the expiration date is tracked from that record.
What is available today?
Annual inspection records, uploaded reports, inspector details, expiration tracking, defect follow-up and per-asset history are available today. Automated qualification-record tracking for inspectors is on the roadmap.
