90-day vehicle safety inspections
Every regulated unit inspected within the last 90 days · Inspection records retained for at least two years · Maintenance and repair records tied to each inspection · Terminal inspection file organised and audit ready · Last CHP terminal rating on file with corrective actions closed
Annual & periodic inspections
Federal annual (DOT) inspection current on every power unit and trailer · Qualified inspector documentation on file · Brake inspector qualification records on file · Out-of-service defects repaired before return to service
Emissions & Clean Truck Check
Clean Truck Check compliance fee paid for each vehicle · Semi-annual OBD testing submitted on schedule · Smoke opacity / periodic smoke inspection records retained · Aftertreatment faults resolved and documented
Driver qualification
DQ file complete for every driver · Medical certificates current and posted to the MVR · Annual MVR pulled and reviewed · Drug & alcohol program enrollment and Clearinghouse queries current · Driver training and remedial actions documented
Hours of service & ELD
ELD registered and malfunction procedure documented · Logs audited for falsification and unassigned driving · Supporting documents retained for six months
Preventive maintenance
PM schedule defined per asset class (miles, hours, calendar) · No PM services currently overdue · Driver vehicle inspection reports (DVIR) reviewed and defects closed · Tyre, brake and fluid intervals tracked per unit
Records, costs & readiness
Cost per asset, per mile and per engine hour tracked · Repeat failures identified and root cause addressed · Vendor invoices matched to work orders · Audit binder or digital record set available on demand
